U21 Leadership Summit at the University of Glasgow

Where it started

The moment

As part of its landmark 575th anniversary celebrations, the University of Glasgow set out to host a new global gathering that would bring together some of the most influential voices in higher education.

In partnership with Universitas 21 (U21), the university launched the inaugural U21 Leadership Summit, creating a forum where senior leaders from universities around the world could come together to explore the opportunities and challenges shaping the future of higher education.

Unlike many conferences, this was not designed as a sector event for a broad audience. It was a highly curated, invitation-led experience bringing together university presidents, vice-chancellors, senior academic leaders, policymakers and global partners for strategic discussions around leadership, innovation, public trust and higher education’s role in an increasingly complex world.

For the University of Glasgow, the Summit represented an opportunity to showcase its global outlook and convening power during its 575th anniversary year. For U21, it was an opportunity to bring its international network together while opening the conversation to a broader leadership audience.

The result was a summit designed not simply to reflect on higher education’s challenges, but to explore what comes next.

Where it needed to get to

The challenge

Bringing together global university leaders for meaningful discussion is one thing. Creating an event that successfully serves two interconnected but distinct audiences is quite another.

Alongside the new Leadership Summit sat the established U21 Annual General Meeting and wider network programme. These audiences shared common interests and relationships, but each had different objectives, expectations and requirements. The challenge was creating a seamless experience that allowed both programmes to operate successfully while feeling part of a cohesive whole.

The event itself was equally complex. Over several days, delegates moved between strategic discussions, leadership sessions, private meetings, networking opportunities, evening receptions, social events, campus experiences and stakeholder engagements. Behind the scenes sat a significant programme of speaker management, partner engagement, delegate communications, branding, production and logistics.

The University of Glasgow needed more than an event delivery partner. It needed a team capable of providing strategic oversight, coordinating multiple stakeholder groups and managing the countless moving parts required to deliver a high-profile international summit.

Working closely with colleagues at both the University of Glasgow and U21, Assemble became the central delivery team responsible for bringing the vision to life while ensuring the experience remained seamless for delegates, speakers, sponsors and stakeholders alike.

How we approached it

The thinking

From the outset, we recognised that the Summit needed to feel different from a traditional conference. The strength of the event lay not simply in its content, but in the calibre of the people attending. The experience needed to create the right environment for meaningful conversations, relationship-building and collaborative thinking.

Working alongside the University of Glasgow and U21, we helped shape an event that balanced intellectual rigour with warmth, hospitality and opportunities for genuine connection. Every element of the delegate journey was considered through this lens, from registration and communications through to venue experience, networking opportunities and evening activities.

Just as importantly, we needed to create a clear identity for a brand-new event. Through branding, creative direction and experience design, we helped establish a Summit that felt distinctive while complementing both the University of Glasgow’s 575th anniversary programme and the wider U21 network.

Central to our approach was partnership. Throughout the project we worked closely with stakeholders across the University of Glasgow, U21 and the wider Summit community, helping align priorities, navigate decision-making and maintain momentum across a large and diverse project team. Just as importantly, we worked alongside outstanding internal colleagues and trusted local suppliers, bringing together different expertise around a shared vision. The collaborative spirit of the project became one of its defining strengths and played a significant role in the success of the Summit.

What we delivered

The experience

Assemble provided end-to-end project management and event delivery support across every stage of the Summit. Working alongside exceptional teams at both the University of Glasgow and U21, as well as Glasgow-based production partner Camerons, we brought together specialist expertise across content, production, logistics, communications and delegate experience to deliver a seamless event for attendees.

Our role included overall project leadership, stakeholder management, speaker management, sponsorship activation, branding and signage, creative direction, delegate communications, registration management, marketing and outreach support, production oversight and on-site event delivery. Throughout the planning process, we acted as the central point of coordination between the University of Glasgow, U21, sponsors, suppliers, speakers and wider stakeholder groups.

Alongside this, we oversaw all production elements, working closely with Camerons to ensure the technical delivery, staging, environment and delegate experience reflected the quality and ambition of the Summit itself. The result was an experience that felt polished, professional and highly engaging, while remaining firmly focused on the conversations taking place within it.

The programme itself extended far beyond the Summit sessions.

Alongside the leadership programme, delegates participated in U21 governance meetings, networking events, evening receptions and social experiences designed to showcase both the University of Glasgow and the city itself. Additional content streams, campus activities and stakeholder gatherings added further layers of complexity while creating opportunities for delegates to build deeper connections with one another.

Working across multiple venues and formats, our team oversaw the delegate experience from arrival to departure. Behind the scenes, this involved coordinating speakers, managing registration, overseeing production, supporting sponsors and ensuring every stakeholder understood their role within the wider programme.

The aim was to create an experience that felt effortless for attendees while managing an exceptionally complex operation behind the scenes.

What it achieved

The impact

The inaugural U21 Leadership Summit successfully established itself as a significant gathering for global university leadership. The event brought together senior decision-makers from across the international higher education community, creating space for thoughtful discussion around some of the sector’s most pressing issues while strengthening relationships across the U21 network and beyond.

For the University of Glasgow, the Summit became a cornerstone of its 575th anniversary celebrations, showcasing the institution’s global reputation, convening power and commitment to international collaboration.

For Assemble, the project demonstrated the value of combining strategic oversight with meticulous delivery. While the event itself was highly visible, much of the work involved bringing together multiple stakeholder groups, balancing competing priorities and ensuring everything operated as one cohesive experience.

One of the most rewarding aspects of the project was the partnership that developed throughout the process. Working closely with colleagues from both Glasgow and U21 allowed us to become an extension of the team, contributing not only delivery expertise but also strategic thinking, problem-solving and support throughout the journey.

The success of the Summit was the result of genuine partnership, bringing together dedicated teams from the University of Glasgow, U21, Assemble and a network of trusted suppliers who shared a commitment to delivering an exceptional experience.

Where it led

What happened next

While the Summit marked an important milestone within the University of Glasgow’s anniversary celebrations, its significance extends beyond a single event.

The conversations that took place throughout the programme reflected some of the most pressing questions facing higher education globally. The relationships strengthened during the Summit continue through the U21 network, helping institutions share knowledge, challenge assumptions and explore new opportunities for collaboration.

For Assemble, the project also reinforced the growing role events can play as platforms for dialogue rather than simply occasions for information-sharing. Increasingly, universities are looking for ways to bring together communities, perspectives and expertise around shared challenges. The most successful gatherings create the conditions for those conversations to happen.

The U21 Leadership Summit demonstrated what can happen when thoughtful content, strong partnerships and meticulous delivery come together around a common purpose.

Because the most meaningful events are not remembered for what happened on the stage.

They are remembered for the conversations, ideas and connections that continue long after delegates have gone home.
