19 graduation ceremonies across six days
Client Brief
Faced with staff capacity challenges in the run up to graduation week, Assemble Events were appointed to support the Queen Mary events team in the delivery of 19 graduation ceremonies across six days in July 2023.
Our Approach
In just five weeks, we worked with the team to ensure a seamless graduation experience for students. We worked with existing processes and teams across the university to:
- Prioritise tasks and keep to the delivery schedule
- Provide logistical guidance at site visits to deliver the ceremonies
- Confirm catering requirements including any dietary requests
- Work with internal security and cleaning teams
- Finalise ceremony stage plans and academic attendance
- Work with external suppliers to ensure smooth and quick registration and robing process for graduates
- Manage graduate data from the registration platform to prepare reading lists
- Verify data anomalies and eligibility to graduate with internal teams
- Manage ceremonies on-site
- Produce brochures tailored for each ceremony
Event Impact
- Over 5,000 graduated in 19 ceremonies over six days
- We upskilled the events team to deliver future ceremonies without external support
